Getting started with the sole trader service
Updated
Pro Light is our sole trader (toiminimi) service. Once it's activated, you invoice through us as a toiminimi entrepreneur, using your own Y-tunnus.
Order
You can order the sole trader service through the app – open Order from the menu and you'll find instructions for ordering there.
Personal authorizations
After placing your order, we send you an authorization request in the Suomi.fi service. The authorization acts as an electronic permission from you to us, so that we can either open a Y-tunnus for you (if you don't already have one) or retrieve your existing Y-tunnus into our system.
If you already have an existing Y-tunnus, our system retrieves it automatically after the order is placed and the authorization granted. We do not open a new Y-tunnus for you. If your Y-tunnus is not in the prepayment register and/or registered for VAT, we take care of this as part of the order.
To grant your personal authorizations, go to the suomi.fi service and approve the pending authorization request. You'll find illustrated instructions for granting personal authorization here.
Waiting
Opening a new Y-tunnus typically takes 1-2 business days, while re-registering an existing Y-tunnus can take 3-4 weeks.
During the order process, you'll receive status updates from us in the Tasks section on the app's home screen, so you'll always be up to date on how your order is progressing.
Company authorization
Toward the end of the order, we'll ask you for another authorization. This authorization request is addressed to your company and is needed so we can handle your company's statutory filings to the Finnish Tax Administration. If the company authorization is missing, we can't file your VAT return.
What does the service cost?
The basic fee for the Pro Light service is 3,99 % per invoice. So the service fee is only charged when you have invoicing. No fixed costs, and no hidden fees.
If the client you're invoicing has a partnership agreement with us, the separately agreed pricing is automatically taken into account in your invoicing.
What does the service include?
Invoicing and payment processing: We send the invoices you create to your clients and match incoming payments. We pay you the VAT-exclusive amount of the invoice and deduct taxes, our service fee, and any other applicable deductions (YEL, debt enforcement) on your behalf. If your client has a partnership agreement with us, we also create the invoices on your behalf.
Bookkeeping: We perform single-entry bookkeeping based on the receipts and invoices you've submitted to our system.
Statutory filings: We file and pay the VAT returns and the toiminimi's business tax return to the Finnish Tax Administration based on the information you provide. We withhold the VAT portion from your invoices. We report and pay it to the Finnish Tax Administration based on your VAT period, so the amount paid to you (the private withdrawal) is entirely available to you – you don't need to worry about paying the VAT portion later.
Paying taxes: We deduct an amount corresponding to the tax percentage you've set in the app from your invoicing, and pay the amount collected during the year to the Finnish Tax Administration at the start of the year as a supplementary advance payment. If you've been assigned advance taxes by the Finnish Tax Administration, or have applied for advance taxes yourself, read more here.
What is the entrepreneur's responsibility in the service?
Submitting materials: Upload all receipts related to your business activity via the app's receipt scanner. If you have sales outside our service, submit these invoices to us via the Support requests section.
Taking out YEL insurance: Track your work income and take out YEL insurance in the app once the statutory threshold is exceeded. We do not apply for this on your behalf. When you take out the insurance in the app, our partner Ilmarinen sends your invoices to us and we automatically deduct the payments from your invoicing.
Maintaining permits and qualifications: Client acquisition, pricing, and keeping the statutory permits of your field (e.g. a hygiene passport, taxi license) valid are your responsibility.
Personal taxation: Updating your personal tax card and making the final payment of your own personal taxes are your responsibility. We handle the business portion using the information you provide.
