A receipt meant for bookkeeping got lost
Uuendatud
The Accounting Act allows a lost voucher to be replaced if the original receipt hasn't been kept, or if it isn't possible to get a copy of it.
Request a copy
Before doing anything else, contact the seller. Most stores and online shops can email you a copy of the receipt. This is always the best and easiest solution.
Draw up your own account
If you can't get a copy, you can draw up a free-form account (e.g. a Word or PDF document). It must include the following information:
- What and when: Purchase date, the product or service purchased, and the price.
- From whom: The seller's name (and preferably their Y-tunnus, the Finnish Business ID).
- Why: An explanation of how the purchase relates to your business activities.
- Reason it's missing: An honest reason, e.g. "Original receipt lost".
- Signature: Your name and the date.
Upload this document in place of the receipt in the app via the receipt scanner.
Note on VAT: Without the original receipt, you can't deduct the VAT on the purchase. So you can still deduct the expense from your profit, but you won't get a VAT refund, even if the expense would otherwise be VAT-deductible. A receipt is always worth money.
